EXECUTIVE MEETING

BURNABY, B.C.

FEBRUARY 26, 2000

The meeting was called to order by the President at 9:35A.M. Present: Sam Tomasevic (President), Dick Hopkins (Treasurer), Vince Herkel (Vice-President), Dorothy Butts (Past President and acting Secretary), Fred Ormiston (Island/Powell River Rep), Bill Roos (Island/Powell River Assistant Rep), Marcel Pinette (Lower Mainland Rep), Robin Degraff (Lower Mainland Assistant Rep.), Ernie Connolly (Interior/Kootneys Rep) and Louis Levesque (Nothern Rep).

READING OF MINUTES

The minutes of the last Executive Meeting were read by the Acting Secretary Dorothy Butts. Motion: Vince Herkel, Seconded Bill Roos "That the minutes be adopted as read". Vote taken, carried.

CORRESPONDENCE

A letter was read from the White Rock Horseshoe Club with a request for membership cards and a complaint about not ever being able to get anything they need or get information. A letter had been written back to them by Dorothy Butts sending cards and giving Marcel's name as their rep. Marcel will contact them again.

Letter from the Calgary Club announcing a mixed open tournament. Details are included as an attachment to these minutes. A copy is to be sent to each club by the secretary.

INTERM FINANCIAL REPORT

Was given by the Treasurer Dick Hopkins. Motion: Dick Hopkins, Seconded Ernie Connolly "That the report be adopted as read", vote taken, carried.

ZONE REP REPORTS

ISLAND/POWELL RIVER - Fred Ormiston reported he had travelled the Island recently and had visited some Island clubs.

Comox Valley have finished their clubhouse and are ready for the new season. Their annual tournament will be one week earlier this year because of the B.C. International on the island.

Bob Timothy reported the Ladysmith club has been busy with work on their club and a new tool shed. Agnes Wilson from Ladysmith passed away and her husband donated a tropy on her behalf for the Ladies "C" class in the Island Championships.

Victoria has a 40 person eight week Spring League under way. They have made an addition to their tool shed which included an overhead covered area outside and an outside washroom. Information was sent to Washington State and Oregon promiting the B.C. International in May.

Victoria will have a large number of members attending the Canadian this year. To date 13 campsites and four hotel rooms have been booked. A new casino application is in progress by the club. There is one applicant from Victoria seeking assistance from the B.C.H.A. to attend the Canadian. The Junior girl champion Erin Greenside.

Fred sent a letter to the clubs on the Island and Powell River about our upcoming meeting but had no response.

Bill Roos reported the Nanaimo Club is hosting it's first tournament this year. It will be held July 1st and 2nd. Although hosted by Nanaimo the games will be played in Ladysmith in conjunction with thhe Communities July 1st celebrations.

NORTH - Louis Levesque reported the Quesnel club is redoing their courts and adding two more.

There was no report from Williams Lake but they will be hosting their tournament again this year.

Registration forms for the Canadian have been requested from the clubs in this area.

It's still early for much action in the region due to weather.

LOWER MAINLAND - Marcel Pinette reports that Abbotsford have repaired their courts and added six new ones. They are prepairing for the Provincials and have two large tents available to them to use. The banquet supper will be served from a local restaurant 4 blovks away at a cost of $11.00 a plate. they have $1,500.00 added prize money from their sponsors, Labatts and the Highwayman Hotel.

The Abbotsford Highwayman Open Tournament will be July 15-16. The sponsors have donated $1,000.00 for this tournament.

The city has donated 300 sport pins. There is a new sports coordinator for the district who visited the courts and took pictures for a book they publish.

The Maple Ridge club has not started yet.

North Shore had a fun tournament on February 12, 2000.

Burnaby has had B.C.T.V. to their courts filming. Bob Greig passed away. All members and friends are invited to a memorial service at the club May 13, 2000 from 1-3P.M.

Marcel will be doing a demonstration in the mall in Abbotsford.

Robin Degraff Assistant rep for the lower mainland reported that the Cloverdale Club will be having sewers put in this year. They will then be able to expand their washroom facilities. They have been active during the winter with crib & poker and it has been a boost financially. He also said the club will be having a jar out for donations during all it's tournaments and club activities. The money raised will be given to the Timmy's Telethom. This will not only help a charity but may bring some recognitin to horseshoes and the Cloverdale club. He wants other clubs to give some thought to the same idea.

INTERIOR/KOOTNEYS - Ernie Connolly reports that there is very little interest in the Barrier area this year And not enough to have a club. He has suggested that the two or three players who still want to play in tournaments join the Kamloops club.

He reported the Kamloops club joined the association in 1977 and have no constitution.

In Golden Bill Wright and Jim Murphy passed away.

Penticton and Vernon are not active this time of year because of the snow.

Summerland have had three deaths inb their membership, Alfred Peterson, Oscar Nielson, Tom Coyes.

Summerland will make their tournament a two day tournament this year.

COMMITTEE REPORTS

HALL OF FAME - FRED ORMISTON - Fred reported the cateogry for the year 2000 is promoter/organizer. There only one name on the ballot so far. Nominations to be made for this category must be post marked no later than June 1, 2000. The deadline is final

Fred also reported that the Victoria Club has been asked to take part in the Victoria Sport's Hall Of Fame. Fred, Larry Westman and Tom Hawkins will sit as representitives from the club. He suggests that other clubs look into their community's Hall Of Fame to try and have Horseshoe Pitching recognized.

Tom Hawkins is working with the committee for the Canada Hall Of Fame's new criteria to be voted on later this year.

RAFFLE UPDATE - BILL ROOS - There was nothing new to report at this time as it is too early in the season. Bill will be organizing the paperword to apply for the "B" license and when the lotteries number is available Sam will order the tickets printed.

AIR MILES REPORT - MARCEL PINETTE - Marcel reported that the association has 891 airmiles to date. He will be writing to all the clubs to remind them again about the program and how it works. Dorothy will make us some cards with the airmiles account number so that clubs can distribute them to their members who want to tak part.

SUPPLIES REPORT - VINCE HERKEL - Supplies on hand now are sufficient and nothing will be needed to be printed or purchased this year. There are still a lot of percentage books available and clubs can purchase them for resale to their members.

Vince also reported having trouble getting M&M Horseshoes from the manufacturer. He will try one more time to and order 24 pairs with a deadline for delivery.

SENIOR GAMES REPORT - DICK HOPKINS - The 2000 games will be held in Kelowna with the Horseshoe Pitching in Winfield.

2001 will be in Surrey and Cloverdale will host horseshoes.

All clubs are urged to promote the Senior Games for our senior athletes by making members well aware of the try out dates with enough notice to ensure a good turnout.

The Canada Games which were to be held in Lethbridge, Alberta were cancelled due to lack of funding.

PRESIDENT REPORT - SAM TOMASEVIC - Sam reported the newsletter was at the printers and would be mailed out shortly.

The website is growing sreadily and has been well received. Any club who wishes to set up a webpage and needs help, Sam will put you in otuch with an individual who will help you.

He points out there are dealines for the Canadian and the World Tournaments and it is important that members be aware and have the forms and information ready for their members. Each club has been sent copies with the minutes.

He would like some club content in the newsletter to send in your articles. He also would like allclubs to write some history of their club and forward it to him. They will be kept on file and put in newsletters from time to time.

He also asks that clubs send him written instructions on how to get to their clubs. Maps of how to get to each club are on the webpage and he would like to add the written information as well.

He reported a new radio station in Vancouver CKST, 100 that is a sports station. They plan to have a two hour saession from 4 to 6PM dedicated to amateur sport. Sam has written to the station requesting some time for an interview about horseshoes.

All other business is running smooth.

2000 CANADIAN & WORLD FUNDING

Funding for Champions was dicussed again. It was pointed out that letters have been sent out ot the Champions and the deadline for reques for financial assistance has not yet arrived. Ernie will check with the champions as they are all in his area and a report and discussion will be made at the May meeting.

CONSTITUTION/BY-LAWS

Are under revision. A copy of the proposed changes and amendments was presented. The executive was asked to study these documents and make their recommendations before the May meeting so that it can be dealt with and finished to be presented to the annual general meeting for ratification in September. A copy of the document will be sent to every club in the province so that they have the opportunity to respond before the meeting.

OLD/NEW BUSINESS

Funds recovered from the Port Alberni Area - The sum of $2,200.68 was recovered from a dead bank account in Port Alberni. The Alberni bank had been closed and the monies sent to the Bank Of Canada in Ottawa. All signing persons relating to the account were deceased. The B.C.H.A. made application and retrieved these funds. It was decided by the association after some discussion that the monies in a lump sum would be turned over to the new Port Alberni club immediately. We had requested input from the Port Alberni executive and a letter was received and read which stated they wanted to build covers over their pits and a few other projects. They were notified of our decision.

Club Certificate Program - Dorothy Butts presented several different ideas for a certificateto be presented to clubs. They were studied by the executive and some decisions made as to what would be best. Changes will be made and a final decision will be made at the May meeting. Presentations will be made at the annual general meeting.

Delegates for the Canadian. Two delegates are needed for the Canadian. Vince, Sam, Bill and Fred volunteered. It will depend on how many of these people actually attend the Canadian.

Insurance - It was reported by Dick Hopkins that a settlement had been made in the case of Bea Gotto. The insurance company settled out of court. Our Association was charged $500.00 for the deductable.

The Maple Ridge club was notified by their municipality that the park required $5,000,000.00 liability for them to run a oturnament. Dick checked into the cost of raising the liability from the present $2,000,000.00 to $5,000,000.00 and it would be an additional $400.00 per year for the whole province and $100.00 for just this club. It was felt this was just too costly for the association and the club did not want to paythe $100.00 for their club only to be covered. It was suggested they hold their tounament in another club.

30 Year Pins - The association is celebrating it's 30th year in 2000 and we are looking into having pins made for the occasion. Marcel will have some designs drafted for presentation at the May meeting.

B.C. Gaming Commission - Sam had been contacted by the commission in regard to lotto funds. Dick had a meeting with a commission worker and from the that meeting has out together and submitted an application for lotto funds. The application was for the amount of $7,050.00 for a variety of items that are allowed by this society. He feels his meeting went well and the application was well received and is hopeful that we will have a favorable response in the near future.

The B.C. International Bids for 2001. The Winfield Horseshoe Club was the successful applicant. A letter of confirmation will be sent by the secretary.

The B.C. Championships 2001 - Bids received by Quesnel and Victoria. Victoria's bid was received after the deadline and withdrew their bid at the meeting. The Quesnel Horsesoe Club was the successful bidder. A letter of confirmation will be sent by the secretary.

OPEN FLOOR

There was a question of who has the responsibility to have the plaques made for the B.C. Championships and the B.C. International perpetual trophies. Sam pointed out it was the club who will host the following year. It was pointed out some trophies were not being done. A decision was made that from now on whichever zone the tournament was to be held in the following year the rep for that area will be given a list of winners and sizes of plaques to purchase and it will be his responsibility.

The next executive meeting will be held in Victoria, Friday May 19, 2000 at 1P.M.
